Position Summary

The Assistant Director is responsible for working closely with the CUIMC schools, departments, and programs, and ensures the integrity and accuracy of approximately 6,000 student academic records.  The Assistant Director provides daily assistance to our Teaching Faculty, students, University employees, and external agencies, ensures compliance with all University policies and state & federal regulations, and assists as needed in other work stemming from the Office of the University Registrar.  The Assistant Director is responsible for data reporting and analysis, recommending technological and process enhancements, and assisting in all relevant services for academic record maintenance, from registration through graduation.


Responsibilities

  • Coordinating all Registration and Enrollment functions which include cross-functional service in the areas of enrollment, academic verification, grades, billing, student account payments, state board licensures, and reporting.
  • Training and supervision of staff, scheduling unit work priorities, and establishing calendars for service activities.
  • Managing ad-hoc and systematic reporting needs related to demographics, courses, registration, enrollment, and graduation (AAMC, AMSNY, US News & World, and LCME). Overseeing data management needs of the office, working closely with the Associate Registrar for IT.
  • Coordination of informational communications to students, faculty, and other members of the CUIMC community on behalf of the Office of the University Registrar.
  • Working closely with University administrators regarding term and academic calendars, graduation and diploma preparation, withdrawals, course and classroom management, FERPA, and the learning management system.
  • Establishing customer service policies and procedures that ensure efficient and accurate processing.
  • Working with the Office of the University Registrar to design/implement system enhancements to improve operation efficiency (reduce manual processing) and increase operations controls. Assisting in the design, function, and development of the Student Information System (SIS) replacement.
  • Providing support for the roll-out of key initiatives within the Office of the University Registrar designed to enhance the operation.
  • Providing support for customer transactions (transcripts, registration appointments, verifications, etc.) as the contact points (in-person, phone, Ask-us) to assist in the adjustments to operating improvements.
  • Other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree plus a minimum of 4 years related experience required.

Preferred Qualifications

  • Advanced degree desirable.

Other Requirements

  • Experience developing reports for networked databases, knowledge of SQL, Sybase; strong query writing and report development skills needed (SQL); hands-on experience performing analysis of requests, designing reports, and building reports; experience revising existing reports and maintaining a report library.
  • Thorough understanding of student record systems in a customer relationship management environment involving class registration and graduation data is required.
  • Excellent oral, written, organizational, and interpersonal skills, with a strong customer service focus required. 
  • Must be capable of working independently, as well as collaboratively, and complete projects and assignments under minimal supervision. 
  • Must be able to identify priorities within multiple assignments in a high-pressured, short-deadline environment, while maintaining diplomacy, efficiency, and confidentiality. 
  • In addition, the successful candidate must be able to work well with all levels of employees, be flexible in nature, have sound judgment with an open and collaborative style that encourages teamwork and cooperation beyond the immediate team to the broader organization.
