Senior Administration Specialist (أخصائي إداري أول) A'Sharqiyah University, Administration and Finance Oman

Function


To champion all administrative and secretarial support at the Assistant Vice Chancellor for Administration and Finance by duly Plan, manage and develop the work of the office.


Duties and Responsibilities


Budgets and Plans

Prepare and manage the AVC's Calendar and agenda according to AVC instructions and related policies.
Operate highly effective systems and processes for strategic and operational planning including the publication of key strategies, annual action plans, Admin and finance Departments Operation Plans, the use of key performance indicators and regular reviews and updates.
Overseeing the budget for the Assistant Vice-Chancellor office.

Day-to-Day Activities


Direct all process and practices of AVC Office and lead AVC Office team.
Maintain an in depth knowledge of best practice and keep abreast of planning, policy and development.
Maintains office staff job results by coaching, counseling, planning, monitoring, and appraising job results.
Arranging for the interviews required by AVC or By the Board.
Provide high quality management reports which update on progress, identify the proposals and plans etc. which are well presented in accurate and timely manner.
Ensuring the provision of effective and efficient support to the Assistant Vice Chancellor.
Provide the necessary follow up for action plans to ensure that deadlines are met.
Preparing agenda for AVC meetings and circulating the necessary documents to the attendees.
Organizing team meetings, staff development sessions to ensure smooth and efficient running of the department.
Provides superior administrative support to Assistant Vice Chancellor, including correspondence, coordination, communications and problem resolution.
Own responsibility for the quality of translated text, and accurately proof-read text (whether translated by self or others) to ensure accuracy.
Any other related duties assigned by Line Manger.

Continuous Improvement


Review operating practices and implement improvements where necessary.

Updates for Management


Keeps Assistant Vice Chancellor / Management informed by reviewing and analyzing special reports; summarizing information; identifying trends.


Qualification


Master or Bachelor degree in management or related field from an accredited University.


Experience


Minimum 6 years' of experience as administrative professional in an office environment.


Knowledge & Skills


Ability to plan and organize work to meet changing priorities and deadlines.
Ability to work with minimum supervision and under pressure.
Ability to interact and communicate with individuals at all levels of institution.
High level of interpersonal skills to handle sensitive and confidential situations.
A high level of communicative competence in Arabic and English.
Excellent communication skills (written and verbal) and presentation skills.
An advance level command of computer competence.
Excellent leadership skills.
