Research and Program Administrator

Position Summary

The Eli Broad College of Business is seeking a dedicated and highly organized Research and Program Administrator to join the Dean's Office team. This individual will play a pivotal role in supporting the college research efforts and efficient operation of the subunits within the Dean's Office. Key responsibilities include pre-and post-grant research support in conjunction with the Associate Dean for Research, financial document processing, scholarship administration, onboarding and offboarding processes for new and departing employees, and human resources and general administrative support. The successful candidate will work collaboratively with various stakeholders, ensuring the seamless flow of administrative functions.

Responsibilities will encompass support for: Associate Dean for Research, Marketing and Communications, Learning Technology and Development, and Education Abroad.

40% - College Research and Sponsored Programs Support:

  • Provide pre-award support for research, fee for service and education proposal submissions.  
  • Provide post-award support related to provision of monthly expenditure reports, subaward management, interpretation of award terms, requests needing sponsor approval, and account closeout.
  • Attend research administrator meetings.
  • Prepare reports for the Associate Dean of Research
  • Review annual research facilitation allocation.
  • Partner with the Broad College Manager of Training and Support for Business Operations to provide training on research accounts and related financial reports to the academic units.

30% - Financial Management and Business Planning for assigned sub-units:

  • Process financial documents, such as purchase orders, invoices, reimbursements, and expense reports, in compliance with university policies and procedures.
  • Monitor and reconcile budget statements, ensuring accuracy and accountability.
  • Collaborate with the fiscal officer to manage financial transactions and maintain financial records.
  • Administer scholarship programs, including applications, awards, and disbursements.
  • Ensure compliance with scholarship fund requirements and reporting obligations.

20% - Human Resources and General Administrative Support for assigned sub-units:

  • Coordinate with the Broad HR team to facilitate college effort reporting.
  • Execute posting, recruitment, hiring and immigration paperwork.
  • Assures adherence to university human resources policies and procedures.
  • Facilitate the onboarding process for new employees, including coordinating orientation and access to necessary systems.
  • Manage the offboarding process for departing employees, including equipment retrieval, access revocation, and other checklist items.
  • Coordinate calendars, schedule meetings, and manage project and workload timelines.

10% - Research Administration Services

  • Facilitate the activities of the College Research Committee, scheduling meetings, drafting, and distributing agendas, compiling minutes and other meeting materials.
  • Manage college-level data licenses – assess faculty interest, coordinate license term review, process requisitions/invoices, and track renewals.
  • Manage the internal College research grant program.
  • Other duties as assigned.

Unit Specific Education/Experience/Skills

The job requires: knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business administration, Finance, or a research-related field; one to three years of related and progressively more responsible or expansive work experience in research administration including the area of pre- or post-award processes, or related field such as regulatory administration; or an equivalent combination of education and experience. This job requires completion of Essentials of Research Administration (MSU Certificate) or equivalent within one year of hire.
