Position Summary: 

Under the Supervision of the Project Manager, the incumbent will provide efficient and effective administration related to the management of several grants, in accordance with the unit's goals and objectives, while ensuring coherence with the University's mission and culture. They will manage research administration, contracts, grants, philanthropic gifts or other formal relationships. Interpret and apply University regulations, policies and guidelines. Develop administrative standards, practices and systems. Provide a liaison function with other units and with external organizations, such as OSR, AEC, and Genome Quebec. Support activities related to general administration including, but not limited to: finance, human resources, communications, student affairs, physical resources, archives, governance and legal affairs.


Primary Responsibilities: 

  • Perform and organize activities to support the daily operations of the unit by ensuring that administrative services are carried out in accordance with established goals and objectives, such as administering budget and accounting tasks;
  • Administer and monitor contracts, proposals and other legal instruments by reviewing and processing applications, certificates, and other forms, and ensuring that they are complete. Follow-up as needed; Prepare activity and financial reports related to grant and scholarship awards;
  • Manage and track financial, time and resource aspects of project against a set budget and project plan;
  • Maintain accounts in accordance with internal and external accounting or contractual obligations. Preparing various reports. Prepare and process expense reports, cheque requisitions and deposits; Implement administrative procedures or systems that are moderately complex in support of the faculty, department or unit’s operations and ensure activities meet or exceed established quality requirements;
  • Apply the most appropriate procedures for performing research and ethics administration activities, based on information received. Ensure that activities are performed in accordance with University and policies and procedures;
  • Respond to requests for support on the preparation of grant applications, funding issues, regulatory agency rules and regulations, and University policies and procedures; Maintain prize and scholarship accounts;
  • Process payments associated with fee-for-service platform activities; Monitor accounts by reconciling expenses and deposits against the general ledger. Follow up and investigate discrepancies;
  • Compile statistical data required for various reports. Update documents and reports, either in print or on the website;
  • Establish and foster effective working relationships by identifying needs and providing support in the delivery of services. Assess and resolve administrative problems. When appropriate, inform supervisor;
  • Attend meetings. Organize meetings, training workshops, conferences, seminars and other events; Schedule meetings, prepare agenda, take minutes and follow up on action required;
  • Assess and resolve administrative problems; When appropriate, inform supervisor and formulate recommendations.


Minimum Education & Experience: 


Three (3) years' related experience


Other Qualifying Skills And/Or Abilities: 

Work experience related to support of genomics research is an asset. Experience with common CV, ResearchNet, helping to prepare grants and publications, and experience working with funding agencies (such as Genome Canada, CIHR, Canada Foundation for Innovation, etc.) are also strong assets. Ability to work in a PC environment using Outlook, Word, Excel, and PowerPoint. Experience with databases, Endnote and web applications. Ability to assist with complex travel arrangements. Experience organizing international scientific meetings a strong asset. High level of attention to details. Ability to prioritize and to multitask. Demonstrated ability to work independently as well as within a team. Ability to exercise tact, discretion, and confidentiality. Excellent command of English and French, both spoken and written.
