Job summary

Are you looking to develop or build new skills in research administration and finance? Then this could be the role for you. A new post has been created due to the expanding research portfolio in the Department of Aeronautics to support the work of the Research Operations Officer on a selection of current and future research projects. The Department's research topics cover fluid mechanics, aerospace materials and structures and computational methods and mathematical modelling. Funding comes from a diverse range of sources including the Engineering and Physical Sciences Research Council (EPSRC), the European Commission and a range of industrial and government collaborators.

The post-holder will work across a variety of projects but with a specific focus on selected projects that are identified as requiring more dedicated administrative attention. As such, it is expected that the post-holder will become well-acquainted with and develop a level of expertise in the management of these projects.

Duties and responsibilities

In the role of Research Administrator, you will assist the Research Operations Officer with the day-to-day management of the research portfolio for the Department of Aeronautics and related activities and duties. Being part of a small team, you will be expected to undertake duties without close supervision and be capable of taking initiative.

Your role will be to assist with the administration and monitoring of progress of research projects including monitoring actual and committed expenditure, preparing regular reports and updates to funders on a monthly or quarterly basis depending on the project. This will involve working closely with both the Faculty of Engineering's Research team and the Funder's representative to ensure deadlines are met and expectations are managed.

You will support investigators in the arrangements for reporting meetings or workshops including preparation and distribution of papers and committee servicing. You will research and arrange travel and accommodation for staff employed on the project and other colleagues and partners as appropriate as well as arranging venues and catering for meetings and conferences.

As the Research Administrator you will be expected to gain a thorough understanding of the portfolio in the remit of the grants to ensure that expenditure is being attributed to the correct grants and that the specific and often unique regulations of the funders of these projects are being adhered to.

You will be expected to coordinate and process purchasing and invoicing requests, and expense claims for investigators, particularly those working on highlighted projects within the remit of the Research Administrator. As part of this you will develop knowledge of individual projects with ensuring that all claims and orders are submitted according to the regulations of both the College and the funder.

Essential requirements

Essential requirements for this role include the following:

A Levels or equivalent qualification or relevant experience
Previous administrative and/or finance experience, preferably in a research or higher education environment
Experience in the provision of high-level administration and provision of support to senior members of staff or academics
Experience with procurement / purchasing systems
Excellent financial management skills, including the ability to interpret reports and present data to non-finance staff.
Excellent IT skills including proficiency in MS Office
Excellent organisational skills
Strong interpersonal and written and oral communication skills
Excellent attention to detail, particularly maintaining accuracy when working under pressure
Proven problem-solving skills
Demonstrable ability to prioritise, plan ahead and effectively manage a high volume of work
Ability and willingness to adapt to changing timetables or work patterns as dictated by changing circumstances
