Job Description

The Program Coordinator II will manage the administrative affairs of the developing programs, providing support to the Program Director with faculty hiring, coordinating future clinical placements of residents, and developing departmental policies, procedures, curriculum, and related educational documents related to both program management and specialty-specific accreditation. The Program Coordinator II will also provide support to the faculty.

Required Education and Experience:

Bachelor's degree or equivalent relevant training and/or experience
Four years relevant experience in health-related field

Required Special Knowledge, Skills, and Abilities:

Proficient computer skills in MS office (Word, Excel, and PowerPoint).
Ability to take minutes at a meeting.
Good verbal and written communication and strong critical thinking and problem- solving abilities.
Capable of working independently with good organizational and time management skills.
Experience working well with health professions students and resident physician learners.
Ability to multi-task and work cooperatively with others.

Preferred Education and Experience:

Bachelor's degree and some mental health background and understanding
Three years' experience in ACGME- accredited residency program coordination
Experience working with diverse individuals and communities

Preferred Special Knowledge, Skills, and Abilities:

ACGME accreditation standards knowledge strongly preferred.
Advanced skills in data collection and management (New Innovations, Qualtrics, advanced Excel, or equivalent), tele-video equipment setup and operation, experience working in multi- disciplinary health teams, and/ or project management.


Program Administration and Management:

Serve as primary administrative manager for the program and coordinate organizational activities among and between the residency program and the College of Medicine.
Create coordinate, and manage resident and faculty schedules.
Maintain resident academic and working program training files.
Update and properly manage ABPN preCERT information on ABPN website, register residents for yearly ABPN in- service exam, maintain medical liability insurance information for all residents, and monitor and coordinate necessary TMB communication.
Monitor resident and faculty completion of all assignments (i.e. duty hour reports, evaluations, surveys, tests, etc.).
Serve as primary departmental administrator for the New Innovations residency management suite.
Assist, as requested, in program budgeting and financial planning.

Accreditation and Compliance:

Maintain and coordinate activities necessary to ensure the residency remains in substantial compliance with accreditation and accountability requirements of the Accreditation Council for Graduate Medical Education ACGME), Texas Medical Board (TMB), American Board of Psychiatry and Neurology (ABPN), and Texas A&M.
Exhibit working knowledge of policies and procedures stipulated by the ACGME, all applicable College of Medicine GME policies, and aid in the creation and management of any necessary GME- related departmental operating procedures.

Recruitment and Onboarding:

Manage all departmental resident recruitment, application, interview, and orientation processes.
Maintain Electronic Residency Application System (ERAS) and National Residency Match Program (NRMP) systems on behalf of the department.
Ensure continued knowledge and understanding of all related policies and procedures related to resident recruitment, the Match process, and Texas A&M employment. Coordinate and direct orientation of all trainees, including the completion of all necessary TMB licensure and health system credentialing and privileging.

Administrative and Clerical:

Provide direct administrative assistance to program director and faculty in the management of calendars, schedules, and events.
Compose official correspondence on behalf of the residency program and department.
Serve as administrative liaison between the program and various hospital departments, health systems, clinics, and community partners.
Manage proper departmental supply levels.
Assist in travel requests, coordination, and reimbursement.

Faculty, Resident, and Staff Well-being:

Assist with the coordination of wellness and well-being events, including departmental social events.
Promote the creation and continued maintenance of a high- quality learning environment by identifying and remedying conditions which inhibit well-being.
Counsel residents and faculty, as needed. Serve as junior staff mentor.
