The UCSF Specialty Pharmacy is different than traditional pharmacies, in that we help guide patients through their medication journey to ensure effective, safe and timely administration.

As part of the integrated clinical care team, our goal is to facilitate medication access and serve as a financial advocate for our patients.

 
Job Summary
 

UCSF Specialty Pharmacy blends clinical excellence with customized care for patients with chronic and complex diseases that require specialized therapies and customized pharmacy services. Working closely with frontline staff, pharmacy and ambulatory clinic leadership, the Business Manager will help lead and optimize specialty pharmacy business operations. 

This critical leadership position provides oversight of the administrative functions of the Specialty Pharmacy including daily operations, budgeting, planning and, continuous improvement. The position represents Specialty Pharmacy in interactions with patients, providers, staff and all levels of management within UCSF Medical Center as well as external partners and vendors. 

Key responsibilities include:

  • Manage key specialty pharmacy systems and relationships with system vendors, including medication dispensing and inventory, patient management, billing and claims reconciliation, purchasing and other areas as assigned
  • Serve as the primary liaison with UCSF supply chain, procurement, facilities, IT and other support services
  • Responds to third party requests, i.e. audits/ credentialing and provides necessary documentation
  • Engage with contracting on payer strategy 
  • Manage systems and relationships with vendors
  • Oversee inventory management including processing retired returns
  • Work with accounting to monitor lockbox transactions and provides appropriate financial documentation to hospital accounting
  • Track key operational metrics and trends
  • Work with Specialty Pharmacy Manager on financial planning, budgeting and reporting
  • Work with Specialty Pharmacy Manager on process improvement initiatives that enhance the effectiveness, efficiency and quality of departmental operations

In UCSF’s highly matrixed organization the Business Manager needs to be able to partner with and influence people that do not directly report to her/him and must possess strong interpersonal skills. The Business Manager will support projects that are complex in nature, requiring a high level of initiative and attention to detail in execution and implementation; problem-solving frequently requires analysis of unique issues and problems without precedent and/or structure. This individual must be an independent problem solver and be able to work in a fast-paced, high intensity environment.

Key qualities include:

  • Experience working on complex issues where analysis of situations or data requires advanced operational concepts and an in-depth evaluation of variable factors
  • Ability to exercise judgment in selecting methods, techniques and evaluation criteria for obtaining results
  • Deep analytic skills to understand financial and operational data and develop insights on where and how to focus organizational improvement efforts 
  • Experience with financial and clinical systems and pharmaceutical practices to advise leaders and staff on best practices
 
Required Qualifications
 

  • Five years pharmacy operations experience 
  • Advanced degree in related area and / or equivalent experience / training
  • Experience with budget management, reporting and forecasting
  • Knowledge of industry policies, practices, and systems
  • Knowledge and understanding of internal control practices and their impact on protecting resources
  • Advanced analytical / problem-solving skills; ability to independently gather relevant data from stakeholder groups, perform data analyses, and organize into models that support decision making
  • Advanced interpersonal, service orientation and critical thinking skills
  • Ability to effectively communicate complex information both verbally and in writing in a clear and concise manner
  • Demonstrated ability to handle and prioritize multiple assignments and overlapping deadlines
  • Proven ability to work effectively across organizations at all levels and function as a member of a team
  • Relevant leadership skills to provide guidance, coaching and mentoring to pharmacy staff
  • Ability to adapt to changing priorities
  • Ability to use a high level of discretion and maintain confidentiality
  • Knowledge of the Federal 340B Program
  • The flexibility to orient and work at all UCSF Health locations
 
Preferred Qualifications
 

  • Knowledge of finance policies, practices and systems
  • Experience with health care facility cost accounting and/or billing systems
  • Experience in an Epic health records environment
  • Preference for those with experience in a Lean Healthcare system

Work Environment

  • Keeps working areas neat, orderly and clutter-free, including the hallways. Adheres to cleaning processes and puts things back where they belong. Removes and reports broken equipment and furniture.
  • Picks up and disposes of any litter found throughout entire facility. 
  • Posts flyers and posters in designated areas only; does not post on walls, doors or windows.
  • Knows where the Environment of Care Manual is kept in department; corrects or reports unsafe conditions to the appropriate departments.  
  • Protects the physical environment and equipment from damage and theft.

The flexibility to orient and work at all UCSF Medical Center locations is required.
