Your role

Team Coordination & Operational Support

  • Coordinate daily activities of the Facilities team, including task planning, scheduling, and workload allocation
  • Serve as a key point of contact, ensuring efficient operational support to researchers and staff
  • Define, monitor, and report KPIs to assess team performance and service quality
  • Contribute to the continuous improvement and optimization of Facilities processes

Space, Workplace & Logistics Management

  • Oversee space planning and allocation for offices and laboratories to optimize resource utilization
  • Coordinate workspace setup, reconfigurations, onboarding/offboarding logistics, and internal moves in collaboration with Facility Management
  • Manage interventions related to equipment handling, transfers, furniture, consumables, and workspace relocations
  • Ensure functional and well-equipped working environments, including furniture, multimedia equipment, and office supplies

Procurement & Inventory Management

  • Coordinate with stakeholders to identify needs and ensure timely procurement of goods and services
  • Support sourcing and purchasing activities for scientific equipment and operational supplies
  • Maintain accurate inventory records and tracking of equipment, furniture, and consumables

Quality, Compliance, Safety & Reporting

  • Ensure compliance with internal procedures, safety regulations, and service standards
  • Promote and enforce security and safety practices, particularly in laboratory environments
  • Identify recurring issues, implement sustainable corrective actions, and monitor service performance
  • Collect and analyze operational data, prepare reports and dashboards, and maintain accurate documentation of team activities and follow-up actions
Your profile
  • Degree in Logistics, Facility Management, Operations Management or equivalent experience
  • Proven experience in logistics, facility operations or technical support (experience in research, laboratory, or high-tech environments is a strong asset)
  • Knowledge of logistics workflows, maintenance operations and service delivery
  • Experience with ticketing systems (e.g. ServiceNow) is an advantage
  • Ability to analyze operational data and produce structured reports
  • Knowledge of procurement processes and supplier coordination
  • Excellent command of English and French (C1) is required
