HR and Operations Coordinator

Purpose:


Responsible for coordinating operational, HR and logistical aspects of VPRI, ORS, ORE including: administration, financial, communication and events coordination, space, facilities and ORU governance processes.

 

Education:


Undergraduate degree in business or equivalent such as a combination of undergrad and post graduate diploma in HR. Formal Credential Requirements: First Aid Certificate and CPR Training.

 

Experience:


2-3 years administrative, HR and event planning experience within an academic or research environmen. Experience in WordPress and social media. Editorial experience, such as proof-reading, an asset.

 

Skills:


Verbal/Written Communication Skills:
Good written and verbal communication skills are required for the following duties: Email; verbal and written communication with faculty, ORUs, senior management and others; requesting RSVPs for meetings and events; drafting memos for the ORU Charters; answering phones; and minute taking and compiling meeting notes, clear communication of requirements for special events, both written and oral to on-campus and off-campus service suppliers (e.g. venue, special menu requirements, etc.).



Interpersonal Skills:


Strong interpersonal skills are needed to liaise with internal and external parties.



Conflict Resolution Skills:


Resolving conflicts with other units to negotiate timelines for events.



Planning/Organizing Skills:


Good organizational skills and attention to details are needed to plan meetings, site visits, events and conferences. These events often involve scheduling conflicts, multi-tasking and the need to prioritize duties in a timely manner.



Other Skills:


Due to the fact that the Office of the Vice-President Research & Innovation deals with sensitive university materials (e.g. research files, visits with dignitaries such as cabinet ministers), confidentiality is of crucial importance. Dealing effectively on a daily basis with unplanned situations as they arise and being flexible to adapt to changing needs are critical.
