Grants and Contracts Manager

Position Summary

Reporting to the Vice Chair for Finance & Chief Financial Officer with responsibility to the Department Administrator, the Grants & Contracts Manager is responsible for managing the administration of grants, sponsored projects, clinical trials and internal departmental grants, including budgets for the Department.

This position provides the candidate with the opportunity to contribute to the department’s priorities and learn about academic medicine by working closely with the Department’s Principal Investigators (PI) and finance and administration team.   


Responsibilities

  • Prepares government and non-government grant budgets and oversees the preparation and submission of materials for grants administration
  • Reviews grants for accuracy and completeness
  • Clarifies issues related to submissions or expenditures with funding agencies
  • Processes and reviews grants with the Sponsored Projects Administration (SPA) and Sponsored Projects Finance (SPF) offices
  • Coordinates Clinical Trials reimbursements to Department as applicable
  • Reconciles and updates ARC sponsored funding accounts
  • Reviews changes from NIH and other funding agencies for policy changes and keeps up-to-date with regulations
  • Informs PI's of changes affecting current or new submissions
  • Monitors grant information to identify grant opportunities that may be available to department faculty
  • Prepares budgets and modification letters to enable transfer of grants/contracts between PI's or other institutions when necessary
  • Ensures PIs request and submit no-cost grant extensions, renewals and progress reports on time
  • Serves as liaison with SPA and SPF to ensure completion of financial status reports at the end of each budget year including preparation of reconciliation statements for funding agencies 
  • Processes purchase orders, P-card orders and reviews ARC payments relating to grants
  • Coordinates with other departments for salary information and ICR negotiations in conjunction with the Vice Chair for Finance on grant submissions.  Prepares annual ICR reconciliation and works with other departments to implement processing
  • Assists with annual effort reporting
  • Works with the Vice Chair for Finance and Financial Analyst in preparation of monthly reports on grant/contract revenues and expenses
  • Performs other duties as assigned

Minimum Qualifications

  • Requires a bachelor's degree or equivalent in education and experience, plus four years of related experience.
  • Detailed knowledge of spreadsheets and word processing applications essential.
  • Strong analytical, organizational and interpersonal skills required.
  • NIH grants administration experience required.
  • Other related duties as assigned.
