Columbia’s Manhattanville campus is designed to bring together diverse academic disciplines while welcoming the wider community to experience a shared space for civic life.  The Forum is a new multipurpose venue able to host an array of academic conferences and public forums. The building’s upper floors feature a 430-seat auditorium, gathering spaces, and five meeting rooms with state-of-the-art technology.  The ground floor is utilized for a range of activities, from exhibits to University events as well as educational programming and other community functions.

Position Summary

Reporting to the Director of Events, the Event and Communications Manager is responsible for working with and supporting clients who host events at The Forum to ensure that events exceed client’s expectations, managing all aspects of The Forum event production, coordinating event communications, and assisting the Director with special projects and with training and directing event staff.  This position requires some evening and weekend hours.


Responsibilities

  • Serves as a liaison to all event sponsors at The Forum and to the Columbia community, building relationships with colleagues across the University.
  • Reviews specific event functions, coordinates rentals, deliveries, catering, AV and special needs to ensure success of each event.
  • Provides direction on room assignments, event décor, and production enhancements as they relate to program and event logistics.
  • Responsible for adhering to internal processes and procedures, including creating detailed event and program timelines, executing effective communication with internal and external partners, and complying with University policies and standards.  
  • Oversees day-to-day venue event activity, directing all logistical arrangements and managing front-of-house staff and onsite resources, all while delivering excellent customer service.
  • Prepares work schedules and trains team members and temporary staff on all guidelines and procedures, while ensuring professional and courteous customer service at all times. 
  • Manages in-house signage and digital real estate, ensuring appropriate listings and branding.
  • Working in conjunction with the Director, develops marketing tools to promote The Forum’s venues and services.
  • Actively seeks and evaluates new business tools including technology resources to continuously improve the services provided to all clients.  
  • Utilizes a variety of tools to assess customer opinions, including surveys and feedback forms.
  • Performs other related duties as required.

Minimum Qualifications

  • Bachelor’s degree or its equivalent required. 
  • Minimum three years of related experience is required.

Preferred Qualifications

  • Demonstrated ability in guest relations, with proven record of working effectively with diverse constituencies.
  • Excellent customer service orientation, strong leadership and people skills with ability to build and foster relationships.
  • Strong written and oral communication skills and excellent organizational skills with ability to handle high-volume workload, manage concurrent projects, meet deadlines, and work as part of a team.
  • Demonstrated ability to exercise good judgment, manage competing priorities, and work productively when under deadline and with minimal supervision.
  • Computer literacy including proficiency in Microsoft Office Suite and experience with event or catering software programs.
  • Desire to work in a collaborative environment that values innovation and creative problem-solving.
  • Experience supervising staff or leading teams.
  • Graphic design, web content management, or social media management experience.
  • Must be able to work flexible hours, including frequent evenings and some weekends.
