Job Description

The Department of Pediatrics at the Vagelos College of Physicians & Surgeons of Columbia University is pleased to announce an exciting opportunity to join its leadership team. We are currently seeking a strategic and innovative Divisional Administrator (DA) to work with our Divisions of Pediatric Gastroenterology, Clinical Genetics and Allergy, Immunology and Rheumatology at Columbia University Irving Medical Center (CUIMC).

The Department of Pediatrics at the Vagelos College of Physicians & Surgeons of Columbia University is committed to innovation and excellence in clinical medicine, education and research. The Department of Pediatrics is part of Columbia Children's Health, with more than 400 pediatric specialists we provide care 45 specialty areas offering the greatest depth and breadth of pediatric care in the region.
Departmental leadership is committed to the development of faculty and staff at all levels.

 

The Division of Pediatric Gastroenterology has 19 full time physicians; Clinical Genetics ? 4; and Allergy, Immunology and Rheumatology ? 6. Each division contains a subset of administrative and research staff who help to make the Mission of CUIMC possible.

 

The Divisions of Pediatric Gastroenterology, Clinical Genetics and Allergy, Immunology and Rheumatology closely follow the commitment to patient care. The divisions combined operating budgets are over $10M. In combination, the divisions have more than 30,000 outpatient visits with robust inpatient services to provide care across the spectrum of the medical center. Education serves as a key focus of all 3 divisions with a total of 8 fellows across the sub-specialties and robust fellowship training programs in each division. Research is an integral part of all three divisions and spans basic science to clinical trials.


Minimum Qualifications for Grade

Essential Functions Financial


-Develop, monitor and present divisional budget for the fiscal year. (Annual Operating Budget of $11.4 million)
-Monitor budget variances, identify areas for financial improvement, business development and strategic planning.
-Work with Division Chiefs on strategic plan for avenues of growth and physician compensation model.
-Creation and follow through of recruitment/replacement business plans.
-Grants management
-Reconciliation and reporting for pre- and post- award.
-Creation and maintenance of master service agreements with outside hospitals.
-Invoice and reconciliation of purchase orders.
-Monitor budgets and invoicing for clinical trials.
-Prepare budget projections for clinical revenue.
-Review of clinical billing and quarterly clearing of collections for non-payables from inpatient and outpatient billing.
-Work closely with Division Chiefs to allocate time and effort (CARE model) for each physician.
-Review Faculty Relative Value Units (RVU's) on a monthly basis. Disseminate data to the physicians and looking for trends or variances in clinical volume that impact the revenue projections.
-Strive for cost savings to the Division(s) and Department.
-Approve and administer reimbursements for faculty and staff.
-Prepare and review of salary rosters created annually.
-Ensure adherence to Columbia University policies and compliance of SOP are followed for the revenue cycle processes and budgets.
-Other duties assigned at the discretion of the Divisional Chief(s), Deputy Director and Department Chair as needed.

 

Clinical
-Assures adequate staffing coverage for clinical and research operations.
-Ensures compliance with all CUIMC regulatory requirements.
-Other duties assigned at the discretion of the Divisional Chief(s), Deputy Director and Department Chair as needed.

 

Relationships/Communication
-Direct reporting relationship with Divisional Chief(s) and Deputy Director.
-Identifies and communicates divisional needs.
-Works with Division Chief(s) in regards to philanthropic efforts and the Development Office.
-Work with the Patient Care Director of NYP to ensure continuity of care for patients.
-Works collaboratively in a large academic medical center.
-Provides staff feedback on performance improvement opportunities.
-Demonstrates a professional attitude to all levels of leadership, staff and the community.
