Position Overview:

Reporting to the Director of Business Operations, the Manager of Business Operations is responsible for supporting and managing the day-to-day facilities and administrative operations of the Harvard University Information Technology (HUIT) Department.

Principal Duties and Responsibilities:

Responsibilities Include:
  • Act as liaison between the Director of Business Operations and all HUIT departments on space related initiatives including collecting and evaluating requirements, sourcing vendor proposals, providing financial analysis, seeking leadership approval, and overseeing installations. 
  • Evaluate practices and procedures to ensure HUIT spaces are inclusive, functional, and safe; document best practices and processes.  
  • Prepare and communicate building-wide facilities related announcements. 
  • Coordinate and manage planning for all large-scale relocation efforts.
  • Oversee HUIT’s room scheduling and desk booking tools and programs.
  • Manage HUIT’s Computer Asset Program including overseeing the annual computer refresh process, reviewing and updating program policies, and providing regular reporting & financial analysis of program. 
  • Audit, update, and manage the HUIT technology assets database. 
  • Manage Administrative Operations online presence utilizing Open Scholar. 
  • Establish and monitor department policies and protocols. 
  • Responsible for the management and professional development of the Facilities Staff Assistant.
  • Act as back-up to the Harvard Square Department Administrator on all onboarding and offboarding duties. 
  • Other duties as required


Basic Qualifications


  • Bachelor's degree preferred.
  • Minimum of 4 years administrative or related experience in a dynamic environment


Additional Qualifications


  • Must be detail oriented and possess excellent interpersonal, organizational, analytical, problem solving, and written & oral communication skills.
  • Must have ability to convey a clear and consistent message.
  • Strong technical skills, including knowledge of automated work order systems like ServiceNow or Building Engines.
  • Ability to quickly analyze data and present findings to senior leadership.
  • Demonstrated ability to relate to individuals at all levels with poise and diplomacy; ability to triage and set priorities; perform multiple tasks simultaneously; display discretion when working with highly confidential issues; and work well under pressure.
