Description:

Under the direction of the Manager, External Relations & Outreach (“Manager”), the Coordinator, Events and Business Development is responsible for promoting venues and event services to potential clients. The Coordinator organizes and monitors all aspects of the Daniels Faculty's events and bookings to meet internal institutional needs, optimize the potential for external revenue streams, achieve outstanding client satisfaction, and grow the Faculty’s reputation as a preferred special events venue. The Coordinator’s core duties and responsibilities are as follows:
Event Sales & Business Development
Making recommendations concerning the identification of preferred clients.
Drafting business and marketing plans to attract external business.
Assisting in policy creation and implementation.
Building and maintaining strong client relationships and acting as first contact.
Conducting site tours, assisting clients with event planning, recommending menu options, choice of venue, equipment, aesthetics, etc.
Preparing service contracts, meeting with clients from the inquiry stage through to contract finalization as needed.
Authorizing and approving the payment of supplies and invoices.
Monitoring event budgets, and preparing and reviewing monthly financial reports.
Event Planning, Coordination & Execution
Working in close collaboration with other in-house staff to ensure events are seamless and to the satisfaction of the client. Also assisting clients with contracting of specialized external services.
Supervising and scheduling casual staff for all events functions
Attending functions and demonstrating professionalism and leadership, responding to client concerns and needs to ensure the Faculty is represented positively.
Coordinating event teardown and preparations for next-day events.



Qualifications:

Education & Certification:
Bachelor’s degree in a related field (e.g., hotel/hospitality management, business administration, etc.) or an equivalent combination of education and experience.
Smart Serve Certification (mandatory)
Food Handlers Certification (asset)
WHMIS Certification (asset)
First Aid Training (asset)
Experience:
Minimum five (5) years’ experience in business development, event sales and marketing, and event management within the hospitality industry. Direct experience in food service and direct oversight of catering activities. Venue / facilities management experience an asset. Related experience in a higher education setting an asset.

 

Skills:
Computer skills including MS Office (Word, Excel), e-mail, reservation database.

 

Other:
Clear understanding of DineSafe, Toronto Public Health’s food service safety program; excellent business acumen and strong understanding of financial process and business development; superior and effective planning and organizational skills; demonstrated time-management skills; able to work independently to multitask and prioritize own work, and work under pressure to meet strict deadlines in a high volume office; demonstrated ability to independently solve problems within the scope of the role; professional personal presentation and demeanor; ability to exercise tact, judgment and discretion; meticulous attention to detail; exceptional communication (both written and verbal) and interpersonal skills; excellent customer service orientation towards internal and external clients; able to anticipate the needs of clients and staff based on understanding of the events/catering industry; team player who works collaboratively and unites colleagues in pursuit of shared goals; proven ability to support and lead casual staff, assist with training, and motivate other stakeholders involved in supporting events and catering.
Work hours require flexibility due to events and conferences held during evenings and weekends.

Pay Scale Group and Hiring Rate: USW Pay Band 12 -- $69,730 with an annual step progression to a maximum of $89,172. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
