Your Role...

SnT is reinforcing its communications team and is looking for one flexible, organised, and solution focused individual to support events organisation .

The Communication Officer specialised in events will be involved in the planning, execution and reporting for international academic conferences, as well as marketing events. These tasks are part of the overall communication strategy of the centre and support the reputation building of SnT both in the academic sphere and in industry.

Main responsibilities:

  • Support the complete event lifecycle from initial concept, on-site activities, to post-event evaluation for a variety of event types including large scientific conferences for 120-1000 participants, academic seminars, summer schools, research lectures, booths at trade shows, corporate parties, team excursions, SnT Partnership Day
  • Support with budget and administrative processes associated with events: updating spreadsheets, tracking conference payments, submitting purchase orders, following-up on invoices, setting-up and keeping registration databases up to date, working on visa files for event participants as necessary
  • Develop an approach for sustainable events, liaising with other colleagues across the University as necessary
  • Work with researchers on practical demonstrations of their research projects at events, from the idea and design of the demo experience to the logistics of delivering the demo materials to the event site
  • Collaborate with other communication colleagues to publicise events both before and after, this may include take photos or videos at events, or overseeing photographers/videographers at events
  • Supporting the marketing function of the SnT Comms team with ad-hoc tasks
  • Support the SnT Comms team’s broad range of activities where necessary, backing-up colleagues as needed, contributing your skills to other areas of communication as needed,, liaise with other departments, entities, or externals where necessary
  • Perform various administrative tasks as required
Your Profile...

Professional background:

  • A university degree in Marketing, Communication, or related field is best, a degree or certificate in office administration would be considered
  • Any professional experience in a similar role is a plus
  • Strong written and verbal communication skills in both English and French
  • Strong interpersonal and intercultural communication skills, an outgoing personality helps as you’ll be interacting with lots of people from all around the world
  • Solid experience and completely comfortable working with tools like Microsoft Office, particularly Excel
  • Some experience or knowledge of tools like Mailchimp/Brevo, wordpress or other CMS, Microsoft Teams or similar conferencing technologies (Cisco, Webex, Zoom, etc.) and design tools like Canva
  • Excellent organisation and project management skills, flexibility and resilience
  • Considered a plus: any abilities in photography, video, social media, or content writing

Qualities to succeed in this role:

  • Flexibility and a solution focused approach is a must. Event organisation challenges are sometimes immediate and need quick solutions, so thinking of new approaches on your feet is a big advantage here
  • A blend of teamwork and autonomy: you will be the primary support person for a specific team member working on academic events, so the ability to work well in a pair is important, and in the larger team as well, yet you will have individual tasks that will require complete autonomy

About the team:

  • Our team has seven members at the moment, plus students and multiple freelancers
  • Our work covers: content & press, marketing, events, academic conferences, and internal communication. We always look at ways to improve the big picture for everyone, which means we also look at solving HR challenges, collaboration roadblocks, and whatever stands out
  • The team mostly works on Kirchberg, but this position will primarily based in Belval with the one other team member who is there. Coming to the Kirchberg office on a regular basis or going to event locations across Luxembourg will be a big part of the role (be ready to be mobile
