The Institute of Molecular and Clinical Ophthalmology Basel (IOB) is seeking a highly motivated Assistant to support its Chief Operating Officer.

Your position

As Assistant to the Chief Operating Officer (COO) of IOB, you will have administrative and operational responsibility. You will manage highly confidential information, a range of data systems, legal contracts, and intellectual property matters. You will support the COO in leadership matters and coordinate interactions with external parties. A proactive, thoughtful, action-oriented approach is required, along with sensitivity to the motivations of others, and a strong sense of responsibility to IOB.

  • Provide support in the preparation, maintenance and tracking of documents and data repositories, monitoring of contract compliance. This will include presentations, letters, memos, meeting minutes, reports, funding applications, contracts, and IP matters. Data management will be accomplished primarily with Google Cloud tools, and will include data rooms, team spaces, shared drives, contact & network mapping and management.
  • Organise and manage events and meetings involving the COO, such as department and enterprise level meetings, pitches and due diligence meetings, interactions with funding entities, etc. This will include calendar and travel management.
  • Collaborate effectively with all IOB teams (leadership, operational team, scientific groups) and in some cases with third parties, to deliver your goals.
  • Role model strong values: display the highest standards of integrity; maintain high standards of confidentiality inside and outside IOB; show courtesy, respect but also pride in IOB when interacting with third parties.

Your profile

  • Academic educational background (University level)
  • Experience supporting leading positions
  • Experience dealing with legal matters
  • Excellent written and oral communication skills, both in English and German
  • Excellent interpersonal and communication skills when interacting with internal and external stakeholders at all hierarchical levels and always ensuring confidentiality requirements
  • Solid knowledge of typical office IT programs and willingness to learn new tools
  • Excellent problem-solving skills
  • Proactive, organized, engaged and highly independent approach
  • Positive and thoughtful personality
