Position Overview

The Alberta International Medical Graduate (AIMG) Program in the Cumming School of Medicine invites applications for a Program Examination & Educational Events Coordinator. This Full-time Fixed Term position is for approximately 13 months (based on length of grant funding), with the possibility of extension.


This position reports to the Operations Manager, Alberta International Medical Graduate (AIMG) Program, Cumming School of Medicine.


The AIMG Program is a provincial program responsible for the identification and assessment of International Medical Graduates who are eligible to apply for designated Residency Training Programs at the University of Calgary and the University of Alberta. This is done through an application and document review process, participation in a series of national and local examinations, collaboration with the postgraduate offices and residency programs at both universities to ensure that all candidates meet the standards of the College of Physicians and Surgeons of Alberta and the eligibility requirements for residency training.


The AIMG Program Examination and Educational Events Coordinator plays an essential role in implementing administrative processes that support the mandate of the AIMG Program particularly with respect to coordination of national examinations conducted locally on behalf of the Medical Council of Canada, and local examinations as required. Additionally, the position provides support for the coordination of all educational activities supporting the AIMG Program mandate including, but not limited to, orientation, clinical placements, pre residency preparation and Externship.


Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Facilities bookings and contracts

  • Preparation of materials

  • Liaison with external examination agencies including The Medical Council of Canada to determine exam requirements, candidate eligibility and exam results

  • Maintenance of security and confidentiality of all examination and assessment materials

  • Contacting temporary staff ensuring adequate administrative support for events and train temporary staff

  • Contacting presenters/examiners/assessors ensuring adequate availability for events

  • Liaison with Chief Examiner regarding training of examiners/assessors

  • Liaise with contract staff to determine need, and ensure sufficient and appropriate standardized patients are recruited and trained for exams

  • Ensuring payments are made in a timely manner

  • Liaison with the AIMG Medical Director, Program Directors and the Postgraduate Offices at the University of Alberta and University of Calgary for:

  • Clinical placements

  • Evaluations

  • Orientation

  • Curricular requirements

  • Work with the AIMG Program Operations Manager and other AIMG Program staff to ensure accurate and timely submission of information to the Medical Council of Canada, CaRMS, CAPER and other relevant external agencies

  • Prepare reports for the Executive Director as required

  • Participate in project planning for key initiatives in the AIMG Program

  • Provide guidance to the Program Coordinator and Communications Officer positions


Qualifications / Requirements:

  • Minimum post- secondary education, preferably a university degree, plus significant past experience working in medical education or equivalent university environment

  • 3-5 years of related experience

  • Excellent knowledge of educational institutions and Canadian postgraduate medical educational requirements

  • Excellent language, communication and presentation skills

  • Excellent organizational skills with strong attention to detail

  • Ability to work independently and set priorities in a complex, fast-paced environment

  • Flexibility to manage tight deadlines and changing circumstances

  • Experience in project coordination an asset

  • High proficiency with Microsoft Office applications (Word, Excel, Power Point) and other applications (WordPress, Sharepoint, Filemaker) an asset

  • Expertise in data and database management an asset

  • Comfort in dealing with broad and diverse multicultural contexts is preferred
