The UW Medicine Contact Center is a fast-paced environment where customer service, patient care, and accuracy are the highest priorities at all times. The UW Medicine Contact Center has an outstanding opportunity for a Full-Time Human Resources (HR) Coordinator (Day Shifts). The HR Coordinator provides assistance to the HR Department Manager through the communication of new and existing programs, and upholds the pillar of being the Employer of Choice. With an estimated 200 FTE, it is essential for operations to run at optimal staffing levels while keeping records current and organized. This is achieved by:

 

• Accurate and organized record keeping of HR data, from hiring new staff to separations
• Communicating to staff in a timely and consistent manner through the department newsletter and email
• Providing existing departmental policy support for updates and new policies
• Promoting and marketing employee engagement activities
• Launching and maintaining our new employee engagement software Tiny Pulse

 

The HR Coordinator will actively support an environment of teamwork, cooperation, performance excellence and personal success, and will promote an atmosphere of warmth, compassion, and understanding while demonstrating empathy and the ability to relate to individuals. The HR Coordinator also exercises independent judgement to prioritize work tasks and deciding work methods.

 

Key Responsibilities:
• Decision making authority to complete phone screens, reference checks, coordinate interviews and offers to meet the monthly goal of Contact Center Representatives required for upholding operational needs
• Work closely with recruitment to support job fairs and other outreach activities
• Completion of hiring and separation paperwork, and personnel file organization to meet records requirements
• Assisting new hires with badge access, ordering supplies, answering questions
• Support administrative tasks essential to the onboarding of new hire employees
• Provide information to staff and explain policies, rules and regulations applicable to human resource functional area(s)
• Participate in weekly attendance Task force and supervisor meetings
• Be the central point of contact for the new HR software Tiny Pulse
• Create and develop the Contact Center’s quarterly newsletter
• Ensure department policies are clear and easy to find
• Coordinate and support engagement strategies with staff including event days and communication forums such as the Comtech Connection and Leadership Q & A meetings
• Order departmental supplies, assist with purchase orders, reimbursement for travel etc.
• Receive requests for public records from employees or members of the public; provide or verify public information requested
• Assist the HR Department Manager with additional tasks as assigned

 

Desired:
• Proficiency with the Microsoft Office Suite
• A minimum of 6 months in an office environment and experience with policy management, preferably in a health care setting
• Excellent written and verbal communication skills
• Excellent organizational skills


REQUIREMENTS:


High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience
