The Office of Global Affairs (OGA) is a catalyst and a hub for all things global at the UW, connecting the diverse internal and external networks of scholars, students, and community leaders engaged with international issues.


OGA’s major activities include:
• Initiating and supporting scholarly research on global issues across campus units and departments, disseminating information about relevant faculty expertise, funding opportunities, and institutional ties abroad.
• Providing a portal through which external stakeholders - including business leaders, representatives of local, regional, and national government, NGO activists, international alumni, and ethnic and cultural affinity communities - can learn about and participate in campus activities and resources.
• Serving as a central guide and resource for developing and successfully implementing study abroad program, collaboration with international scholars, the conduct of global research, and the design and nurturing of foreign institutional partnerships.
• Supporting UW community members in planning and carrying out UW’s international scholarship and business in a safe, productive manner.


To facilitate these functions, OGA has five main areas of responsibility: administration of study abroad and exchanges; support for international research; oversight of UW's centers and offices abroad; management of UW international relations and protocols; and coordination of strategic initiatives in the key areas of global health, global environment, global technology, global development challenges, and global cultural change.


We have an outstanding opportunity for a Business Manager in the Office of Global Affairs. This position reports directly to the Associate Vice Provost for Global Affairs, and is a leadership position dedicated to office-wide budgeting, planning, human resources, and developing process efficiencies. This position is also responsible for supervising the Finance and Administration team. Major functions include:


Administrative leadership to the Office of Global Affairs Regular financial reporting to the VP and AVP; manage budgets for the Office of Global Affairs Maintain and develop policies and procedures for all administrative areas. Oversee Human Resource management Supervise the Finance and Administration team


Position Complexities:
• This position requires pro-active, organized and creative individual with strong public speaking and problem-solving skills. The person in this position must be able to work independently with minimal supervision and have excellent communication skills.
• Ability to work with a range of constituencies from both within the Office of Global Affairs and across all units of the university.
• Ability to work and lead in development of non-standard processes related to the international demands of the office while ensuring compliance with UW policies.
• Ability to travel to meetings and events, both locally and internationally, as requested by the VP and AVP.
The Business Manager is a key member of the Office of Global Affairs leadership team. The work is essential to successfully administering the Office of Global Affairs




30% Fiscal management
• Manage all state, gift/endowment, grant, and self-sustaining budgets. This includes tracking and assigning expenditure appropriation allocations, verifying allocation balances and providing regular financial status reporting to the VP and AVP.
• Oversee fiscal management of financial resources for the unit, including financial planning, budgeting and accounting functions.
• Provide budget projections and spending trends to the VP and AVP and alert them to potential allocation deficits or unusual spending patterns.
• Oversees endowed funds and associated operating funds.
• Establish financial management policies and provide financial guidance on allowable uses of endowments and current use funds.
• Budget positions and operating funds in the UW’s budget system (BGT).
• Manage and appropriately delegate reconciliation of budgets monthly using the UW’s MyFinancial Desktop application (MyFD).


30% Human Resources management
• Ensure that the Department's employment practices are in compliance with the human resources policies and procedures of the University and the Department.
• Lead recruitment efforts to meet staffing requirements and fill positions.
• Coordinate on-boarding and off-boarding with Study Abroad Assistant Director and IT staff.
• Advise managers and directors regarding position classifications, organizational structure and salaries. Initiate all department hiring, promotions, salary actions, and terminations for staff personnel.
• Ensure timely and accurate entry of Workday data.
• Advise managers and staff regarding leave management.
• Monitor leave usage for departments (e.g. sick leave, annual leave balances)
• Maintain personnel files. Ensure appropriate confidentiality for all records.
• Counsel employees and supervisors to resolve personnel Issues; initiate and follow through with corrective actions through University policies and procedures.
• Work closely with the University's Human Resources offices as appropriate.
• Implement succession plans to identify critical positions and ensure continuity within OGA.


35% Supervision, Leadership and Project Management
• Supervise three full-time Finance and Administrative Specialist team staff. Manage coordinated coverage, schedules and individual roles and responsibilities; facilitate regular check-in meetings; lead team improvements to ensure highest possible level of service and systemization of workflow.
• Assign and monitor work
• Conduct performance reviews and initiate corrective action as necessary
• Provide professional development and mentoring
• Coordinate and lead teams for Office of Global Affairs and university-wide projects. Bring together appropriate team members; facilitate project work; prepare reports; plan and implement communication plans.
• Manage projects on behalf of the Office of Global Affairs. This may include: business process reviews and implementation of business process improvements, fiscal analysis, and other related projects.
• Represent OGA in selective local and international events, meetings and other activities as needed.


5% Other duties as assigned


Bachelor’s degree with a minimum of five years progressive work experience in business administration, financial management, human resources and/or general administrative/managerial functions.


Master’s Degree
Experience in international education, global affairs.
Experience working across a range of budget types and with multiple units.
Experience with UW HR systems
Experience with staff supervision
