Position Overview

University Bookstore is currently seeking a Full-time Regular Manager, Operations .


This position reports directly to the Associate Director of the Bookstore. The position is directly responsible for the day to day operations of the Bookstore. Those operations, although not limited to these, are the inventory control system, the Point of Sale system, all web based systems, accounts payable process, shipping and receiving area, cashiers, stockroom functions and sales floor maintenance. The Operations Manager works with the Associate Director in ensuring effective, efficient and constantly evolving provision of services. With the Associate Director, the Operations Manager coordinates and supervises staff, manages financial, budget and purchasing processes. In conjunction with the Course Materials Manager and the Clothing and General Merchandise Manager, shall be deemed responsible for all activities of the Bookstore in the absence of the Associate Director. This position coordinates generic training of Bookstore personnel ie: customer service programs, computerized training, etc. Judgment and decision making impacts financial outcome of the department. This position deals with continuous change within the department and works with constant interruptions. This position develops, modifies and implements in conjunction with the management team all bookstore policies and procedures. This position is responsible for maintaining, implementing and monitoring of University policies and procedures of the Bookstore. The position has a consistently high volume work load during peak times of the year and at fiscal year-end. This individual demonstrates strong communication, leadership, facilitation, negotiation and client service skills.



Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Accountable for the leadership, coaching and direction of staff involved in the Operations area

  • Hire, train and supervise Operations staff, including performance management and discipline

  • Maintain positive and productive relationships with staff through effective communication and conflict resolution

  • Responsible for the budget, financial accountability and inventory control in the assigned areas

  • Responsible for the maintenance and upkeep of all store equipment, furnishings and physical space

  • Act as the departmental Health and Safety coordinator. Develops, maintains and grows health and safety program for the bookstore as required by University and government policies

  • Solve problems related to client/staff requests, assesses needs and provides relevant information, support and services where appropriate

  • Ensure that day to day operations of the department are conducted and maintained at a high customer service level

  • Operate a cash register, receive incoming merchandise and assistswith online orders and any other tasks that need assistance as required during high volume periods or periods or reduced staff levels

  • Working with the management team, evaluate future needs and changes to business environment, plan and institute change in operational systems and services in consultation with staff, other university departments and off campus partners as appropriate

  • Assist the management team with the development of a strategic service strategies and collaborations for improved quality service delivery

  • Provide expertise to the development of policies and procedures that are administered within the Bookstore

  • Maintain and develop excellent working relationships with other university departments, external customers and suppliers, industry organizations and internal clients

  • Maintain a high level of professionalism when dealing with students, faculty, suppliers and University employees

  • Maintain knowledge of Principles of Conduct of the University of Calgary, and align self with core values and direction


Qualifications / Requirements:

  • Post-secondary and/or equivalent combination of education and experience

  • Minimum of two years of experience in a management position within a retail environment is require

  • Post-secondary degree or SCMP designation preferred

  • Excellent communication and leadership skills

  • Strong analytical skills

  • Business process design experience an asset

  • Understanding of supply chain concepts an asset

  • Ability to co-ordinate and prioritize multiple tasks and demands

  • Ability to lead a team

  • Ability to work independently in a fast-paced environment with constantly shifting priorities

  • Ability to work well with computer programs such as PeopleSoft, Winprism, Microsoft Office, E-mail and the internet

  • Experience with computerized inventory control systems would be an asset
