Under the general direction of the Transcription/Chart Completion Manager, the Chart Completion Supervisor oversees the chart completion activities for Harborview Medical Center and the University of Washington Medical Center to assure timeliness and quality of dictated and directly entered clinical documentation in the Electronic Health Record to support patient care. Uses problem solving and critical thinking skills to assure the Chart Completion staff and customer needs are being met. Promotes a team atmosphere using UW Medicine Service Culture Guidelines and effectively communicates with staff and customers.


Supervises and assures daily operations of overall chart completion staff and workflows meet departmental goals.

Evaluates employee performance and provides feedback through coaching.

Coordinates and monitors workload volumes to achieve turnaround goals.

Prepares reports to support departmental operations related to chart completion activities, volume of work, quality of work, staff performance and employee satisfaction.

Participates in the development, monitoring, and communication of:

? Work priorities, and productivity;

? Scheduling and payroll matters;

? Staff adherence to departmental security and confidentiality policies and procedures;

? Matters relating to potential PHI disclosures;

? Departmental Processes;

? Staff meetings, including drafting meeting agendas;

? Defining Chart Completion staff roles and responsibilities; and

? Resources needed for project completion.

Facilitate and coordinate interviews, check references, and select staff with support from Manager.

Facilitates, recommends, and schedules training opportunities for staff; identifies performance deficiencies, and recommends corrective action when applicable.

Acts as first level of escalation point related to issues for providers, patients or UW Medicine employees.

Participates in and leads special projects and other duties as needed.

Participates in discussion and decision making with appropriate vendors regarding required system functionality.


Certified as an Accredited Record Technician (ART), or Certified Coding Specialist (CSS), or Certified Medical Transcriptionist (CMT) AND two years of applicable experience in program specialty;


An equivalent combination of education and experience.

•Two years of supervisory experience in a multi-specialty transcription department.
•High school diploma or equivalent and four years of occupational-level medical transcription experience, including three years of experience utilizing terminology of multiple body systems or in multi-specialty department.
•Certified medical transcription credentialing may substitute for one year of experience.
•Completion of an accredited medical transcription course or equivalent may substitute for six months of experience, or
•Equivalent education and experience.
Five years recent health information experience with three years supervisory experience in an acute care teaching hospital.
