DESCRIPTION OF THE DEPARTMENT 
Our unit administers three interdisciplinary programs: American Studies; Feminist, Gender & Sexuality Studies; and Modern Thought & Literature. The office is located in Margaret Jacks Hall (outer quad) on the Stanford main campus. The programs are small but vibrant. The staff work with faculty from across the University who are interested in interdisciplinary study.

 

JOB DESCRIPTION SUMMARY:

This position is one of significant responsibility, reporting to the program manager, three faculty program directors, two program coordinators, and one associate director. You will have primary oversight for student services as well as managing curriculum support for the three programs, will be responsible for maintaining the smooth running of the office (e.g., event management, inventory of supplies, submission of payments), and will manage the web and social media needs for our three interdisciplinary programs. You will also supervise part-time office staff and hourly student employees who will assist you and the program manager.

 

Your primary focus will be to provide student services for undergraduates in American Studies and Feminist, Gender, and Sexuality Studies and for graduate students in Modern Thought & Literature (totaling 75-100 students), including tracking student progress, alumni outreach, preparing informational materials, and compiling information for program reviews.

 

The office administration side of the job includes providing course and faculty support, managing and updating program websites and social media. You will coordinate logistics for conferences, symposia, and other program events, and will handle scheduling and coordinating materials for committee meetings, with the assistance of part-time staff. You will also work with the manager in handling transactions (paying vendors, verifying PCard expenditures, making travel arrangements, and processing payments and reimbursements.)

 

This job is often very busy, always interesting, and provides an exciting variety of experiences.

 

Your responsibilities include*:

  • Oversee, review and administer student records by analyzing data, counseling students and providing recommendations that require interpretation and influence decisions. Make exceptions on issues of eligibility, course enrollment and program requirements.
  • Develop recommendations and collaborate with staff, faculty and other offices to resolve programmatic issues within the school and across functional units, (such as strategizing to ensure optimal enrollment).
  • Provide advice to students on a range of issues, including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., to guide them in making appropriate choices and decisions.
  • Apprise students of research, fellowship and scholarship opportunities. Participate in related student recruitment and selection.
  • Provide first line response to identify students in crisis and refer to appropriate resources, as needed.
  • Collect and analyze data from multiple sources including student feedback, surveys, trend reports, and data analytics. Prepare and summarize reports and make recommendations to enhance offerings, such as programs and courses and to influence current processes and policies.
  • Develop, analyze, influence and review, policies, processes and programs by incorporating feedback and trend data learned from first-line interactions with students. Advise manager and team on policy updates and provide recommendation for implementation of changes.
  • Identify trends, perform needs analysis, and participate in the implementation and testing of new technology.
  • May develop marketing materials and strategies for program activities and outreach functions. Assist in planning and developing webinars, education fairs and other external functions.
  • May provide oversight with the administration of financial processes such as financial reimbursements, data entry, reviewing terms and conditions regarding contracts, understanding vendor requirements, and following up and resolving issues.

To be successful in this position you will bring:

  • Bachelor’s Degree and two years of administrative experience, or combination of education and relevant experience. 
  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.

  • Prior administrative experience at Stanford, or at another educational institution
