Reporting to the Director, Procurement Services and working closely with the Procurement Officers, the Procurement Contract Administrator provides administrative support to the Strategic Sourcing team. Incumbent duties include: drafting tender notices for posting on the University’s electronic tendering system (MERX) and addenda in relation to open competitive procurements; reviewing online competitive bid request from end users; updating the open competitive procurement tracking database; coordinating and scheduling project kick-off meetings; completing activities such as photocopying, scanning and electronic filing; and responding to routine inquiries from the internal and external University of Toronto community.


The incumbent also supports the Vendor of Record program by reviewing and tracking contracts to ensure appropriate action is taken to prevent supply disruption. The Administrator also supports the development of reporting tools to track Key Performance Indicators, and assists with the drafting of contractual documents and ensure accurate file management.

Qualifications: (MINIMUM)


Bachelor’s degree in business administration including courses related to procurement (e.g. Principles of Procurement, Principles of Finance, or Data Analytics) or equivalent combination of education and experience.


3 years of procurement administrative experience, including procurement file management in a public sector environment. Knowledge of public tendering practices. Working knowledge of an electronic tendering system (e.g. MERX).


Strong organizational and time management skills. Proficient in MS Word, Excel, Access with SAP or other ERP background an asset. Strong verbal communication skills with emphasis on written, editing, and proofreading skills. Strong customer service and focus skills with the ability to deal with variety of internal and external clients and suppliers. Strong analytical skills.


Ability to work independently within a team environment. Ability to comprehend and synthesize complex concepts. Demonstrated initiative, flexibility and critical thinking skills. Strong attention to detail and accuracy essential. Numeric aptitude with ability to work comfortably using a variety of technology and systems. Ability to maintain confidentiality. Ability to multitask in a fast-paced environment. Self-starter with ability to prioritize and high attention to detail.

Pay Scale Group and Hiring Rate: USW Pay Band 09 -- $55,169 with an annual step progression to a maximum of $70,552. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
