The Administrator, DBS (UAE National Only) provides administrative support for all undergraduate program areas. The EA plans, implements, and coordinates office work, faculty, staff, and resources and prepares the management reports. Discretion, good judgment, organizational or management ability, initiative, and the ability to work independently are especially important for the Administrator, DBS position. The Administrator, DBS will also perform most basic secretarial duties, basic bookkeeping functions and many other tasks such as assuming responsibilities once reserved for managerial and professional staff, performing and coordinating DBS’s administrative activities and storing, retrieving, and integrating information for dissemination to faculty and students.

 

Major Responsibilities

Specific responsibilities are outlined as follows:

  • Uses a variety of office equipment, such as fax machines, photocopiers, scanners, and videoconferencing and telephone systems.
  • Manages databases; creates spreadsheets, presentations, reports, and documents using desktop publishing software and digital graphics.
  • Prioritizes tasks, be pro-active in follow through, and provides the Dean, DBS with timely feedback.
  • Arranges and manages detailed daily schedules
  • Organizes meetings, provide scheduling notices, and maintains executive calendars.
  • Uploads each semester assessment data to STEPS-Chico (USA) to assess learning outcomes
  • Maintains course files for 1 year
  • Maintains secrecy and confidentiality of DBS documents including answer scripts
  • Maintains accreditation documents related to DBS and AACSB
  • Organizes and maintains paper and electronic files;
  • Manages scholarship projects;
  • Manages faculty database on Scholar-System
  • Disseminates information by using the telephone, mail services, Web sites, and e-mail.
  • Performs basic customer and client relations services such as: answering phones, making calls, processing paperwork , schedule periodical meetings, and field all incoming calls
  • Prepares, format, proofread and finalize a variety of business documents including minutes, letters, and agendas;
  • Creates and edit formal presentation materials, especially PowerPoint;
  • Should have a strong accounting background and is capable of developing financial statements for the school and following it regularly throughout the year.

Position Required Skills

  • A bachelor’s degree in business administration, or related field combined with administrative support and project or program management experience.
  • Good experience in financial statements analysis.
  • 3-5 years of experience as an administrative assistant.
  • A precise command of the English language including grammar, punctuation and spelling.
  • Experience in Share Point and Web Ex; extreme knowledge of MS Office Word, Excel, ACCESS, PowerPoint.
  • Expert level computer and organizational skills to support executive requests
  • Discreet and professional manner as well as dress.
  • Strong note-taking skills
  • strong interpersonal skills and demonstrated ability to function in team environment
  • Strong problem solving and communication skills
  • Ability to multi-task and maintain confidentiality at all times
  • Communicating effectively orally and in writing as appropriate for the needs of the audience.

Position Desired Skills:

  • Specialized course work in business administration or related field, usually acquired through business school provides entry into this field.
  • Excellent bilingual (Arabic & English) oral, written, and communication skills, the ability to communicate effectively verbally and through written correspondence as well as in communicating with individuals in one-on-one situations
