Administrator Client Services (Full & part-time positions available)

SHARED SERVICES
CLIENT SERVICES

Who we are

Client Services provides administrative support to the wider University. Our staff have a wide variety of different specialties, handling broad tasks such as diary management, document drafting, organising travel arrangements, recording meeting minutes, or acting as a point of contact for staff, students and visitors.

The Client Services team is part of the Division of Shared Services, a broader family of staff focused on delivering an outstanding student and staff experience through high quality, effective service delivery. We are often embedded or physically located within the areas of the University that we support.

About the role

As an Administrator within Client Services, you will support one or more departments helping to ensure the smooth operation of that particular work area. In this position, you will help to maintain a supportive work culture focused on providing an excellent customer experience.

You will be working in a team as part of the wider Shared Services Division. Your relationship building skills will be important, ensuring that you become the trusted point of contact for a range of students, staff and visitors.

The specific duties can vary depending on whether you are supporting an Academic or a Services Department but some tasks include:
• organising locally based events and meeting coordination;
• responding to student or visitor enquiries;
• coordinating local administration processes such as recruitment, induction, and teaching administration support;
• collating and distributing student exam results; and
• maintaining timetable information.

Due to the nature of the Shared Services Division, the range of tasks and responsibilities is broad and may require performing duties at different workplaces or locations across our Dunedin campus.

Your skills and experience

• Previous customer service or administration experience (examples might include call centre, retail, hospitality, reception or general office experience).
• Working knowledge of Microsoft Office software (Word, Outlook, Excel).
• A drive to work with students and a desire to assist in their success.

Recruitment process

The University conducts regular recruitment and assessment events for the role of Client Services Administrator. These are scheduled throughout the year and involve candidates spending time with the Client Services Group.

Once you have submitted your application through our recruitment system, we will assess your submission. You will then be invited to complete a skills assessment and, if applicable, reference checks will be requested. The final step of the selection process will include your attendance at an assessment centre to be held on campus in Dunedin on Tuesday, 15 October 2019.
