The College of Engineering Associate Dean for Education and Graduate Professional Programs is currently seeking applicants for the position of Administrative Support Coordinator. The successful candidate for this position will report directly to the Associate Dean, managing day-to-day operational activities, and act as liaison by developing and maintaining positive relationships with internal and external constituents including staff, students, faculty, donors, and University support offices, e.g., Undergraduate Education, Student Aid, Admissions, Bursar, Registrar, and Human Resources. As office manager, this individual will establish office priorities, ensure adherence to University policies, work closely with the financial coordinator, supervise and mentor support staff, evaluate efficiency of processes and procedures and recommend and implement enhancements, and be able to work independently as a member of a supportive office team. Specific responsibilities include providing oversight of the administrative and logistical support to the associate and assistant deans for the accreditation process for all engineering programs; coordinating a complex schedule; distributing information on behalf of the Associate Dean; creating confidential correspondence; and oversight of special events, meeting arrangements, and travel planning. This position is responsible for the administration and management of a large scholarship program, overseeing stewardship, and interpreting and monitoring endowment guidelines to ensure compliance. The administrative support coordinator must be able to develop and implement awarding strategies in compliance with University policies and contribute to meeting the College’s strategic planning goals for recruitment and retention. This endeavor requires sound decision-making skills to evaluate student eligibility for awards in accordance with endowment criteria and to select scholarship recipients as a designee of the dean and associate dean; producing end-of-semester and end-of-the-year reports to college administrators and central administration; serving as College liaison for eSteward to central administration; and being a primary resource for the departments for problem resolution. Typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience. The preferred candidate should display proficiency with eSteward, LionPATH, Microsoft Office 365 applications, Outlook, WorkLion/WorkDay, database software, and have experience using 25 Live CollegeNET, iTwo, Sharepoint and Box. Excellent interpersonal and organizational skills and attention to detail are required. This person should understand and practice the value of equity and inclusion in all interactions with all constituents; and look for ways to foster this spirit in coworkers and supervised staff. Other required qualities include accurate and professional communication and problem-solving skills; the ability to multitask and prioritize project deadlines; knowledge of University policies and procedures; exceptional interpersonal and organizational skills; superior written and oral communication skills, and knowledge of project management techniques.
