Administrative Assistant - Corporate Relations

This position will ensure that the University and its employees fully conform to government regulations, through timely procurement and/or renewal of residency permits, civil identification cards, practicing licenses, and operating licenses etc. S/He will detail the University's representative/s promptly to ensure completion of time bound procedures.

Essential Duties and Responsibilities:

Responsible for the overall coordination of all Government agency interface in order to ensure that AUK and its employees satisfy all government requirements & regulations.
Liaises with Ministries of Social Affairs & Labor, Higher Education, Electricity & Water, Foreign Affairs, Trade & Industry & Interior. As well as various embassies, Social Insurance Office, Chamber of Commerce, Civil Information Authority Department, Traffic Department, Fire Department, and Municipal Department.
Ensures that the University's representatives prioritize and expedite their assignments on a daily basis and that these are accomplished in a timely manner.
Prepares weekly reports to monitor the progress of various government applications and keeps the Director of Corporate Relations fully updated on developments.
Verifies expenditure statements that are submitted by the representatives.
Updates all data related to employees' government formalities.
Maintains all employees' government formalities documentation in a proper and easily-accessible filing system.
Closely monitors expiry dates of residency and work permits, civil identification cards and passports of all faculty and employees of AUK.
Keeps an eye on new government regulations and policies and advises the Director on announcing to the AUK community accordingly.
Performs any other duties that may be required to ensure the University's compliance with government regulations or requirements or any aspect pertaining to the above.
Qualifications and Experience:
High school diploma or higher, a bachelor's degree is preferred.
2-5 years relevant experience.
Knowledge of local practices necessary.
Bilingual English & Arabic.
Fully conversant with government regulations, protocols & procedures.
